NTMC launches digital intake to cut wait times

North Texas Medical Center has launched a digital patient intake system that lets patients complete registration, upload insurance cards, and verify personal details from their phones before arriving.

GAINESVILLE, Texas — North Texas Medical Center has launched a new digital patient intake system designed to reduce wait times and shift the focus from paperwork to clinical care. The platform sends patients instant text or email confirmations when they schedule appointments. Through a digital portal, patients can complete a Pending Items Checklist that includes registration forms and secure uploads of identification and insurance cards — all from a smartphone or computer. NTMC Chief Executive Officer Tom Sledge said the system reflects the hospital's priorities. "Our goal is to prioritize our patients' time and clinical care over paperwork," Sledge said. The digital process ensures "our records are as accurate as possible" before patients arrive. By completing forms in advance, patients typically save 10 to 15 minutes at the registration desk. A Data Verification feature allows individuals to update sensitive details such as employment information and emergency contacts at their own pace and in the privacy of their home. An express desk check-in option remains available for patients who prefer in-person registration. NTMC is also in the final stages of developing an integrated digital payment feature that will allow patients to manage co-pays and service balances directly through their mobile devices. North Texas Medical Center serves Cooke County and the surrounding region from its campus in Gainesville.
